Service · Intake and CRM

Marketing cannot fix a phone nobody answers. Intake is the largest lever in the system.

In every account we have run, the largest single drop is between paying for an inquiry and a human speaking to the family. In birth injury the first conversation also has to gather what a medical-legal review needs, without interrogating a frightened parent and without diagnosing or promising. That is an operations design problem, and we fix it before scaling spend.

What we build

Speed to lead and coverage

Response time targets, after-hours and weekend coverage design, routing rules, callback cadences and the monitoring that shows when inquiries wait. Whether the answer is your staff, a trained intake partner or both, the standard is a human conversation in minutes, around the clock.

A medically literate first conversation

Scripts written with your attorneys and reviewers that gather the facts screening needs (where and when the birth occurred, what was diagnosed and when, what care followed, who the providers were) in an order that respects the family, with explicit language that the firm does not yet know whether negligence occurred.

Written screening criteria and records workflow

Criteria by case type, agreed with the attorneys who will review, so that intake can escalate consistently. A records-request workflow with templates, tracking and reminders, so that cases under review do not stall on paperwork.

A pipeline that records every stage

CRM configuration (yours, or our Atlas platform) with stage definitions from the data dictionary, timestamps on every transition, review capacity visible to the managing partner, and the exports that feed offline conversions back to the ad platforms. No medical details leave the CRM into any marketing system.

What we measure

  • Time to first human contact, by hour of day and day of week.
  • Contact rate, screened rate and signed rate by source.
  • Inquiries waiting on records, and median time in review.
  • Intake leakage: where inquiries fall out, and what it costs per signed case.
Next step

Start with a diagnosis, not a proposal.

A strategy session is a working review of your current acquisition: where inquiries come from, where they leak, and what a signed case actually costs you today. You leave with findings whether or not we work together.
